SOP: Customer Greeting & Communication

Department: Field Operations


Policy Purpose: To establish a universal, professional standard for how MobileBattery contractors interact with customers. Clear, confident, and empathetic communication builds immediate trust and ensures a smooth service experience from arrival to payment.


1. The Arrival & Initial Greeting

Customers are often stressed, running late, or stranded when they call us. Your arrival should immediately de-escalate the situation and project competence.

  • The Approach: Walk towards the customer with purpose, maintaining a relaxed and friendly demeanor.

  • The Universal Greeting Script: > "Hi, are you [Customer Name]? I'm [Your Name] with MobileBattery. I see you're having some trouble starting your [Vehicle Make/Model]. Don't worry, we'll get this sorted out for you right away."

  • Safety First: If the customer is on a busy shoulder or unsafe parking area, politely direct them to a safe distance before beginning your assessment. "For your safety, I'm going to ask you to stand safely on the sidewalk/away from traffic while I get the hood open."


2. The Diagnostic Conversation

Never start unbolting a battery without explaining the process first. We are experts, and we need to communicate that expertise clearly.

  • Explain the Test: Let the customer know you are performing a diagnostic check before replacing anything.

    "Before I swap anything out, I'm going to test your current battery, starter, and alternator just to confirm the battery is actually the issue and that a new one will solve the problem."

  • Delivering the Results: Be honest and direct. If it just needs a jump-start or terminal cleaning, tell them. If the battery fails the load test, explain why in simple terms (e.g., "The cells are no longer holding the cold cranking amps needed to start your engine.").


3. Confirming the Service & Battery Tier

Once the need for a replacement is confirmed, clearly outline the solution without using high-pressure sales tactics.

  • Reviewing the Options: Briefly confirm which battery they selected during booking, or present their options if they haven't chosen yet.

    "We have a few options that fit your vehicle. We carry the Standard AGM, the Discover EV Dry Cell for longer life, and our Option C, the Ultra Premium Lithium, which is the Group 24 Discover Blue."

  • Transparency on Pricing: Always confirm the total price (including the battery, installation, and any applicable regional taxes) before beginning the physical swap. Surprises at the payment step lead to bad reviews.


4. Communication During the Install

Keep the customer in the loop, especially if the job becomes complex.

  • Setting Expectations: Give them a realistic timeframe. "This installation usually takes about 15 to 20 minutes. You can wait in your car or inside if you'd like, and I'll come get you when it's ready."

  • Flagging Issues Early: If you encounter heavily corroded terminals, a stripped bolt, or a complex bracket that will take longer than expected, inform the customer immediately. "Just a quick update—your positive terminal has some heavy acid buildup. I'm going to take a few extra minutes to clean and neutralize that so your new battery connects perfectly."


5. The Wrap-Up, Payment, & Departure

The final interaction is what the customer will remember most when leaving a review.

  • Show the Work: Once finished, show the customer the newly installed battery and the clean terminals.

  • Explain the Warranty: Clearly state the warranty terms for the specific battery tier they purchased and explain that their digital receipt serves as their proof of purchase.

  • Payment Processing: Hand them the tablet or point-of-sale device to complete the transaction securely.

  • The Final Sign-Off: > "You are all set to go. Your new battery is fully charged and your charging system looks great. Thank you for choosing MobileBattery, and drive safely!"
