How to Block Your Schedule (Requesting Time Off)

Since your Calendly is synced directly to your Google Calendar, dispatching is fully automated. If you need to block off time—whether it’s for a doctor's appointment, a vacation, or just wrapping up early for the day—you do not need to notify dispatch.


You simply need to block the time on your Google Calendar. Calendly will automatically read that time as "Busy" and prevent any jobs from being booked during that window.


Here is how to do it:


From Your Phone (Google Calendar App)

  1. Open the Google Calendar app.

  2. Tap the large + (Plus) button in the bottom right corner.

  3. Tap Out of office (if you are using a professional Google Workspace account) OR tap Event (if you are using a standard @gmail.com account).

  4. Enter a title (e.g., "Off Shift" or "Personal Time"). Note: Dispatch and customers cannot see this title; they just see that the time slot is unavailable.

  5. Set your Start Date/Time and End Date/Time. If you are taking the whole day off, toggle the All-day switch on.

  6. Crucial Step for @gmail.com users: Scroll down to the bottom of the event details and make sure your visibility is set to "Busy" (not "Free").

  7. Tap Save.


From Your Computer (Web Browser)

  1. Go to calendar.google.com.

  2. Click the Create button in the top left corner, or simply click and drag your mouse over the time slots you want to block off.

  3. Select Out of office (or Event for personal accounts) from the popup menu.

  4. Set your exact dates and times.

  5. If using a regular Event, ensure the status at the bottom shows as Busy.

  6. Click Save.


Pro Tip: Always double-check your Calendly link after blocking time off for the first time. Just click your booking link and confirm that the time slots you blocked are no longer showing up as available to book!
